Terms of Service

Please read these Terms carefully before using ParseFlow AI. They explain what you can expect from us and what we expect from you. They work together with our Privacy Policy.
1. Agreement to these Terms
These Terms of Service (“Terms”) form a binding agreement between you and ParseFlow AI (“ParseFlow”, “we”, “us”) and govern your access to and use of the ParseFlow AI website at flowparse.io and all related applications, tools and services (together, the “Service”).
By creating an account, uploading a document or otherwise using the Service, you confirm that you have read, understood and agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the Service.
2. Service Description
ParseFlow AI provides AI-powered document processing. You upload PDF or image files — typically invoices, receipts and bank statements — and we extract structured data, validate it, and make it available to you for download as CSV or Excel (XLSX) files.
The Service includes extraction, optical character recognition (OCR) for scanned documents, mathematical and rule-based validation, confidence scoring and an editable review step. Specific features available to you depend on your plan.
3. Eligibility and Accounts
You must be at least 18 years old and able to form a binding contract to use the Service. Some features can be used without an account; others require you to register.
You are responsible for the accuracy of your registration information, for keeping your login credentials secure, and for all activity that occurs under your account. Notify us promptly of any unauthorised use.
4. Acceptable Use
You may only upload documents that you own or that you have a lawful right and authorisation to process. You are solely responsible for ensuring you have any consents required to process personal data contained in your documents.
You must not use the Service to: break any law or regulation; infringe the rights of others; upload malicious code or content; attempt to gain unauthorised access to the Service or its infrastructure; circumvent usage limits, security or anti-abuse measures; or resell or redistribute the Service without our written permission.
5. Your Documents and Data
You retain all ownership of the documents you upload and the data extracted from them. We do not claim any ownership of your content.
You grant us a limited, non-exclusive licence to process your documents solely to provide the Service to you — for example to run extraction, OCR, validation and export. We do not use your documents to train AI models.
Uploaded source files are deleted shortly after processing. Extracted data is stored encrypted so you can access your history, and you can delete it at any time. For full details on how we handle data, see our Privacy Policy.
6. Free Plan
The free plan allows up to 10 pages of document processing per calendar month, with Excel and CSV export and no credit card required. A “page” means a single page of an uploaded PDF or image.
Free usage resets on the first day of each calendar month. To protect the free tier from abuse, we apply per-device and per-network limits in addition to the per-account limit. We may modify free plan limits, with reasonable notice for material changes.
7. Paid Plans, Billing and Top-ups
Paid plans and one-off page top-ups are billed through our third-party payment providers (Stripe and PayPal). Prices, page allowances and features for each plan are shown on our pricing page and may be updated from time to time.
Subscriptions renew automatically for the chosen billing period (monthly or annual) until cancelled. By subscribing you authorise us and our payment providers to charge the applicable fees, including taxes, to your payment method. You are responsible for any taxes not collected by us.
8. Cancellation and Refunds
You can cancel a subscription at any time from your account. Cancellation takes effect at the end of the current billing period, and you keep access to your plan until then.
Except where required by law, fees already paid are non-refundable and we do not provide refunds or credits for partial billing periods or unused page allowances. One-off page top-ups are non-refundable once purchased.
9. Accuracy Disclaimer
AI- and OCR-based extraction is not guaranteed to be 100% accurate. Output quality depends on the quality, layout and legibility of the source document.
The Service is a productivity tool, not a substitute for professional judgement. You must review extracted and validated data before relying on it for accounting, tax, financial, legal or other important purposes. Validation results and quality scores are indicative and do not constitute professional, accounting or legal advice.
10. Third-Party Services
The Service relies on third-party providers, including AI and OCR processors, payment providers (Stripe, PayPal) and optional cloud storage integrations (such as Google Drive, OneDrive and Dropbox) that you choose to connect.
Your use of a connected third-party service is also subject to that provider’s terms and privacy policy. We are not responsible for the acts, omissions or availability of third-party services.
11. Intellectual Property
The Service, including its software, design, branding, text and graphics (excluding your documents and data), is owned by ParseFlow or its licensors and is protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service in accordance with these Terms.
You may not copy, modify, reverse engineer, scrape or create derivative works from the Service except to the extent permitted by law.
12. Data Protection and Privacy
We process personal data in accordance with applicable data protection law, including the GDPR. Documents are processed in the EU and source files are deleted after processing. Our handling of your data is described in our Privacy Policy.
13. Service Availability
We aim to keep the Service available and reliable but do not guarantee uninterrupted or error-free operation. We may suspend, withdraw or restrict all or part of the Service for maintenance, security or operational reasons, and may modify or discontinue features over time.
14. Disclaimer of Warranties
The Service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement, to the maximum extent permitted by law.
15. Limitation of Liability
To the maximum extent permitted by law, ParseFlow will not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, revenue, data or goodwill, arising out of or relating to your use of (or inability to use) the Service — including any errors in extracted or validated data.
Our total aggregate liability for all claims relating to the Service in any 12-month period will not exceed the greater of the amount you paid us for the Service during that period or €50. Nothing in these Terms excludes liability that cannot be excluded under applicable law.
16. Indemnification
You agree to indemnify and hold ParseFlow harmless from any claims, losses, liabilities and expenses (including reasonable legal fees) arising from your documents, your use of the Service, or your breach of these Terms or of any law or third-party right.
17. Suspension and Termination
We may suspend or terminate your access to the Service if you breach these Terms, misuse the Service, or where required to protect the Service or other users. You may stop using the Service and close your account at any time.
On termination, your right to use the Service ends. Sections that by their nature should survive termination (including ownership, disclaimers, limitation of liability and indemnification) will continue to apply.
18. Changes to these Terms
We may update these Terms from time to time. When we make material changes we will update the “last updated” date below and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
19. Governing Law
These Terms are governed by the laws of the European Union and the member state in which ParseFlow is established, without regard to conflict-of-law rules. Mandatory consumer-protection rights in your country of residence are unaffected.
